We are excited to offer a fantastic opportunity for a Permanent Document Controller to join our dynamic Severn Bridges Inspection and Maintenance (SBIM) team at Severn Bridge Maintenance Unit (BS354BD).

 

In this role, you will support efficient delivery by overseeing the management, production, issuing and distribution of Project documentation to defined timescales, processes and quality. The role works collaboratively with and on behalf of stakeholders which may also include clients, delivery partners and suppliers.

 

What You’ll Do:

  • Controlling technical and management project documentation to agreed processes and associated systems.
  • Provide access, tutorials and support to stakeholders on processes and systems.
  • Supporting the initial definition and the continuous improvement of document control procedures.
  • Ensuring that all documentation meets formal requirements and the required standards and are retained and protected from loss of integrity, loss of confidentiality and improper use.
  • Sorting, storing and retrieving electronic and hard copy documents.
  • Conducting regular document audits and closing out identified areas.
  • Assist in the production of reports and documentation as well as any other administrative and clerical support to stakeholders.
  • Work in a professional and proactive manner including developing the safety culture with the sub-contractors.
  • Ensure that all accidents and incidents are fully reported.
  • Participate in regular monthly safety meetings with the leadership team.
  • Responsible for wearing and maintaining in good condition any Personal Protective Equipment provided to them for their protection., and bringing to their supervisor’s attention any defects or shortcomings with the equipment
  • Responsible for ensuring their own safety and the safety of others affected by their acts and omissions.
  • Responsible for bringing any unsafe working activities or hazards to the immediate attention of their respective manager
  • Responsible for only carrying out tasks, activities and operating plant and equipment that they are certified or competent to carry out.
  • All personnel are to report any accident or near misses to their supervisor or manager immediately to carry out investigations into the causes and remedial actions necessary.

What You’ll Bring:

 

Qualifications

  • GCSE (or equivalent) or experience in similar/same role
  • Relevant Document Control or introductory level Project Management qualification


Skills

  • Pride in the quality and reliability of their work and outputs
  • The ability to organise their tasks efficiently
  • Able to develop and maintain good working relationships at all levels
  • Experience in working a common data environment (CDE) is desirable
  • Ability to use document control systems effectively
  • Highly competent levels of IT skills (Microsoft Office, Outlook, Excel, Word, PowerPoint & SAP)
  • Proactive, conscientious and confident in approach
  • Highly flexible and adaptable


Experience

  • Demonstrative document control skillset and experience
  • Experience of supervising more junior staff
  • Experience of working in a project lifecycle and/or delivery environment
