Title: Administrator
We are excited to offer a fantastic opportunity for a Permanent Pre-Construction Administrator offering Hybrid working with occasional travel across Amey offices in North West and Central
HOURS OF WORK: Monday to Friday, 37.5 hours per week
Join our vibrant, inclusive community in Complex Facilities working on Defence RAMS providing day-to-day administrative support to the Principal Pre-Construction Project Manager and the wider pre-construction team.
What you will do:
- Maintain and update spreadsheets, databases, trackers, and management information systems, ensuring records are accurate, complete, and current.
- Produce, collate, and distribute reports, schedules, and other team documentation in a timely manner.
- Attend meetings as required, taking accurate minutes and notes, and circulating actions to relevant team members.
- Monitor and maintain competence records and Continuing Professional Development (CPD) information for the pre-construction team.
- Assist with the onboarding of new team members, including coordination of induction information, access requests, and team documentation.
- Download, organise, and manage data from multiple sources to ensure the latest versions of forms, records, and documents are available.
- Maintain office and team filing systems in an orderly and efficient manner, both electronically and in hard copy where required.
- Support the delivery of services to clients in line with instructions from team leaders and management.
- Undertake general administrative and business support duties as required to support the effective operation of the team.
- Distribute internal information and updates to ensure customer and project requirements are met.
- Assist in tracking actions, deadlines, and deliverables to support the smooth running of pre-construction activities.
- Support document control activities, including formatting, version control, and issuing controlled documents where required.
- Help prepare meeting packs, presentation materials, and correspondence for internal and external stakeholders.
- Liaise with internal departments and external stakeholders to obtain, share, and verify information relevant to team activities.
- Support the maintenance of team calendars, meeting arrangements, and administrative coordination of appointments where required.
- Contribute to continuous improvement of administrative processes, templates, and record-keeping systems.
